Hotels FAQ » Hotel Accommodation » Letter to Out of Town Guests
Question:
I believe I read here a couple of months ago about a letter to send to your out of town guests to ask them whether they’re coming or not to the wedding so that you can make accommodation arrangements for them. Could someone please re-post this letter or e-mail it to me? Any help would be appreciated!!! Thanks, Christine

I sent a letter, but it was to tell out of town guests about arrangements I had already made and give them a little more time to plan, and not to ask them whether they were coming. I assume they will tell me that when I send the invitations. You can reserve blocks of rooms at hotels months before the wedding. It doesn’t cost you anything to reserve them. Then send your out-of-town guests a letter with all the hotel info, maps, and whatever other location-specific information you want to send. If you want the text from my letter, just email me. I definitely would not ask people whether they intend to come to your wedding before they’ve even received an invitation. Tamara
Response:
I understand Tamara’s point about not asking someone to RSVP before they’ve been formally invited. However, in some cases I think it is necessary. My friend was married in a resort area. Not only to hotels fill up ahead of time, they also won’t reserve blocks in the way that standard hotels do. She sent out a save-the-date letter which aplogized for the weirdness of the timing (months in advance). We did the same thing when we got married in a city that does a busy tourist trade. We had to know some approximate numbers for some things, way far in advance. Our guests understood, and appreciated the extra time to make travel plans. A wedding planned for a holiday season might also warrant a "Save the Date" letter, so that you can get on people’s calendars. — KZ * * I have a wedding page with a collection of ideas for small weddings, * theme weddings, and destination weddings : * * http://www.umich.edu/~kzaruba/wedding.html *
